What information we collect
When you fill in our enquiry or quote request form, we collect your name, company name, email address, phone number, and details about your project. We only collect information you choose to provide to us.
How we use your information
We use the information you provide to respond to your enquiry, provide you with a quote or further information about our services, and contact you about your project. We will not use your information for marketing purposes without your explicit consent.
How we store your information
Your information is stored securely through Squarespace, our website platform. We retain your data only for as long as necessary to respond to your enquiry and fulfil any contract with you.
Sharing your information
We do not sell, trade, or transfer your personal information to third parties. We may share information with trusted service providers who assist us in operating our website or conducting our business, on the condition that they agree to keep your information confidential.
Cookies
Our website uses cookies to improve your browsing experience. Cookies are small files stored on your device. You can choose to disable cookies through your browser settings, though this may affect your experience of the site.
Your rights

Privacy Policy
This policy explains what personal information we collect, why we collect it, and what we do with it. It covers build-plan.co.uk, including the online estimating service.
Who we are
Two companies operate under the Build Plan name, and each is the data controller for its own part of the business:
- Build Plan Services Ltd — building materials supply. Controller for enquiries, quotes, trade accounts and materials orders.
- Build Plan Management Ltd — construction, property management and the online estimating service. Controller for estimates, customer accounts and any drawings you upload.

What we collect
If you make an enquiry or request a quote
Your name, company, email address, phone number, and the details of your project that you choose to give us.
If you use the estimating service
- Your project details — the works you select, floor areas, specification and any notes you type.
- Files you upload — architectural drawings, structural drawings, planning documents, photographs. These may contain your property address and your architect's or engineer's details.
- Your account — email address, and the sign-in links we email you. We do not store passwords; sign-in is by a one-time link.
- Payment — your payment is taken by Stripe. We never see or store your card details. We keep a Stripe reference, and the amount and date.
- Your estimate — the quantities, rates and any edits or notes you make.
Why we use it, and our lawful basis

We do not use your information for marketing without your explicit consent, and we never sell it.
AI processing of your drawings
When you pay for a full breakdown, the drawings you upload are sent to Anthropic (the Claude API) so that they can be read and measured. This is automated. Your files are held by Anthropic only for as long as the review takes and are then deleted by us via their API. Anthropic does not use data submitted through its API to train its models.
The AI reads and measures; it does not make any decision that produces a legal or similarly significant effect about you. You can always ask a human at Build Plan to review or redo your estimate — email info@build-plan.co.uk.
Who we share it with
We do not sell, trade or rent your personal information. We use the following processors, each under contract and only to run this service:

Some of these providers are based outside the UK. Where personal data is transferred abroad, it is protected by the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision.
We may also disclose information where we are required to by law.
How long we keep it
- Enquiries that go nowhere — up to 12 months.
- Estimates and accounts — for as long as your account is open, so you can come back to your figures. Ask us and we'll delete them.
- Uploaded drawings — kept with your estimate so you can re-run it. Deleted on request.
- Financial records — six years, as UK tax law requires.
Your rights
Under UK GDPR you have the right to: access the data we hold about you; have inaccurate data corrected; have your data deleted; restrict or object to how we use it; and receive your data in a portable form. Where we rely on consent, you can withdraw it at any time.
Email info@build-plan.co.uk and we'll respond within one month. If you're not happy with our response, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Security
Your estimate is reachable only through a signed, time-limited link sent to your email address. Data is encrypted in transit. Access to our systems is limited to the people who need it. No system is perfectly secure, but if a breach affects your rights we will tell you and the ICO as the law requires.
Cookies
We use cookies that are necessary to make the site work, and analytics cookies to understand how it is used. You can refuse non-essential cookies through the banner, or block cookies in your browser — the site will still work.
Changes
We may update this policy. Changes are posted here with a new date.
